Provide a better call routing experience

Help customers connect with your team faster and prevent customers from slipping through the cracks with the best auto-attendant system for small and growing businesses.

Set up in minutes

Drag and drop a phone menu system into your existing call flows with our call flow builder. Give callers the flexibility to navigate your menu with keypad and voice command navigation options.

Add multiple menus

Set up multiple menus in your call flows. Route calls to one menu during business hours and another menu for after-hours calls.

Provide up to three levels

Provide callers with multiple levels to reach the right person on your team. For example, they can press ‘one’ in the first level to talk to Sales, and then ‘two’ in the next level to talk to your East Coast team.

Prevent missed calls

Never miss an incoming call again. With our 24/7 AI voice agent Sona, your customers will always have someone to talk to even if your team is busy or unavailable.

Repeat call flow steps

Never lose track of your call flows. Use the Go to step to route calls back to an earlier point in the call flow or re-use a call flow step. For example, every time you want callers to speak to Sona, you can use the Go to step instead of creating multiple Sona steps from scratch.

Backup call handling options

Always provide a path for customers with backup routing options. Choose between sending them to Sona, voicemail, an emergency call forwarding number, or playing an audio message.

What is a multi-level auto-attendant?
down arrow

A multi-level auto-attendant, also known as a phone tree, is an automated call routing system with nested phone menu options callers can use to reach specific team members.

Callers can navigate a multi-level auto-attendant using their keypad or voice commands. A voice-based auto-attendant is also known as an interactive voice response (IVR) system. Some advanced IVR systems also include a dial-by-name directory feature.

What are the benefits of using a multi-level auto-attendant for small businesses?
down arrow

Multi-level auto-attendants offer several benefits for small businesses:

  1. Provide more focused menu options: Businesses can reduce the number of options they provide in each menu level. Callers can choose a menu option more quickly and connect with team members faster.
  2. Better customer experience: Since it’s completely self-service, customers don’t have to wait in a call queue to connect with your team. They can also find the right department faster, which decreases wait times and increases customer satisfaction.
  3. Reduce spam calls: Robocallers can’t navigate through multiple auto-attendant levels. Your team can save time and use it to connect with more customers.
  4. Route calls to multiple locations: If you operate across multiple regions, you can direct callers to their specific location through one main number. For example, “Press one for San Francisco or press two for Dallas.” You can then add nested menus so that callers can reach a specific department within each location.
  5. Offer multiple language options: Cater to a large customer base that speaks a variety of languages? Offer menu options for each language. For example, “For English, press one, or para español, oprima el dos.”
What’s the difference between an auto-attendant and an IVR?
down arrow

An auto-attendant is a menu-based system callers can use to navigate to different departments in a business. Some auto-attendant phone systems offer IVR to access different menu options.

How can you add custom greetings to your auto-attendant in OpenPhone?
down arrow

Click Add greeting message in the Phone menu call flow step and choose:

  1. Upload a file: Use an existing audio (MP3/WAV).
  2. Record: Create a greeting directly in OpenPhone.
  3. Text-to-speech: Type text for professional voiceover.

Auto-attendants vs answering services: Which should I use?
down arrow

Both auto-attendants and automated answering services offer benefits to small businesses. With OpenPhone, you don’t have to choose between them. Add an auto-attendant to your call flow to help customers navigate to different teams. Provide a menu option for callers to talk to Sona, our AI answering service, in case they can’t reach a member of your team or have a quick question Sona can answer.
