Two-way SMS - OpenPhone

What is a VoIP phone number?

A VoIP number is a virtual phone number powered by Voice over Internet Protocol (VoIP) technology. Unlike traditional phone numbers that are connected to specific devices and lock you into making calls from a specific physical location, VoIP can be used anywhere or on any device with an internet connection.

VoIP numbers send and receive voice calls and texts over the internet, giving your team more flexibility. They convert voice signals into digital packets of information and send them over the internet, after which they get converted again on the other end of the line. This differs from landline numbers, which send signals through physical phone lines.

Modern businesses opt for VoIP phone numbers instead of traditional landlines for their flexibility, call quality, and advanced call-handling features.

How do VoIP numbers work on OpenPhone?

With OpenPhone, you can set up local and toll-free VoIP numbers for your business. When you create your OpenPhone account, you can add as many virtual phone numbers as you want to your workspace. Each user in your workspace gets a dedicated phone number that can also be shared by the entire team.

If you need a second phone number (or even more numbers), you can easily add them from your account settings.

"I have tested and used almost every other virtual/VoIP phone system on the market. While most of them cost an arm and a leg, they are also a total mess. The UI is so overwhelming and cluttered. OpenPhone has really disrupted this by creating an affordable and super clean phone system for individuals and teams. I HIGHLY recommend it to everyone I meet!”

What are the benefits of using VoIP numbers for small businesses?
down arrow

Considering which type of phone is right for your business? Opting for a VoIP service instead of a landline phone offers three clear benefits to small businesses:

  1. VoIP phone services tend to be more affordable because VoIP numbers don’t require custom hardware or equipment, like a desk phone or a custom IP phone, to get started. Your teams can sign up with a VoIP provider in minutes and start using your numbers with their softphones or laptops immediately.
  2. VoIP calls make it easier for teams to collaborate better because everyone has shared visibility into all the calls and texts made from the shared phone numbers. This is ideal for small teams that need to manage their incoming call volume. VoIP systems also come with advanced collaboration and call-handling features that help your team do more in less time.
  3. Voice over IP numbers help teams be more efficient by reducing manual admin work. By integrating your business VoIP with your team’s tech stack, like your CRM or Slack workspace, you can keep all your contact information in sync and up-to-date automatically. You can also reduce note-taking with functionality like automatic call recording and AI-generated call summaries and transcripts.
What are the key differences between VoIP numbers and landlines?
down arrow

There are four main differences between VoIP numbers and landlines for your business phone system.

  1. Technology: VoIP numbers work over the internet — you only need a broadband internet connection with high bandwidth to communicate with your customers. Landlines with regular phone numbers use physical phone lines, formally known as the Public Switched Telephone Network (PSTN), to transmit calls.
  2. Cost: VoIP service providers are more cost-effective than landlines. Teams can also use their own existing mobile devices or laptops for VoIP numbers, so you don’t need to invest in custom equipment like PBX hardware. If you’re looking to scale your business and add call center teams in the future, this is an important difference to keep in mind.
  3. Modern features: VoIP numbers have advanced features to help you connect with your customers more efficiently, including SMS and MMS messaging, auto-replies, conferencing, scheduled text messages, call routing, integrations, and more. Landlines are limited and don’t offer many of these features.
  4. Remote-friendly: With a mobile phone, your team can take their virtual numbers anywhere they have a strong WiFi connection and get work done. It makes international calling a breeze, and you’re not reliant on local phone companies to communicate with customers. On the other hand, landlines are fixed and can’t be moved easily.
Can you use an existing phone number for VoIP?
down arrow

Yes, you can use your existing number as a VoIP number by porting your number to a VoIP phone system. The number porting process can take 1-2 weeks, depending on your existing provider, but it’s a simple process.

Learn more about how you can port your number to OpenPhone.

How do I access a VoIP number once I sign up?
down arrow

You can choose your preferred VoIP number during the sign-up process – with the option to choose a phone number or port your existing number.

Once you’ve chosen your number and completed the sign-up process, you can access your VoIP number from your OpenPhone workspace.

If you’ve chosen to port your number, you’ll have to wait 1-2 weeks before you can access and use your number to make phone calls in OpenPhone.

Can I get a VoIP number for free?
down arrow

Most reliable VoIP phone systems will require a paid subscription to use their features for business needs. If you want a VoIP number for personal use, Google Voice offers free VoIP numbers. However, if you want to use a VoIP number with your team as a business phone number, you’ll need to pay for a subscription.

You can try OpenPhone’s VoIP features for free with a seven-day trial, after which you’ll need to upgrade to a paid plan. Sign up for OpenPhone and get started.
