What is shared line appearance (SLA)?

Shared line appearance is a business phone feature that allows you to add multiple phone users to a number so they can make and receive calls on the same phone number at the same time. Users added to a shared phone number can also text with multiple contacts at once from the same number.

Powered by Voice over Internet Protocol (VoIP) technology, shared line appearance features are common in virtual phone systems. Why? Because virtual numbers aren’t tied to a physical device or single location (unlike traditional PBX phones that use the PSTN network).

What are shared numbers?

Shared numbers allow multiple users to use the same number for incoming and outgoing calls and texts at the same time.

They automatically ring all available team members, helping you reduce call wait times and improve your customer experience by answering every call. Plus, decrease information silos, giving your entire team visibility into customer communications and what everyone is working on.

How do I access shared call appearance functionality in OpenPhone?

Invite teammates to your OpenPhone number to activate shared call appearances. Once your teammates join your OpenPhone number, it becomes a shared number. Incoming calls will ring all users who have access to the number. 

You can adjust the ring order on any OpenPhone from the web or desktop. Follow these quick steps to set your ring order:

  1. Go to the Settings page of your web or desktop app.
  2. Under Workspace, click on Phone numbers.
  3. Select a phone number and click.
  4. Under Call flow, find Ring order and click the down arrow to the right to see your available ring options.
  5. Select your desired ring order. (Please note that the Custom option is only available to Business plan users).
How many users on my team can have access to a shared number in OpenPhone?

You can add up to 10 users to a shared number with OpenPhone’s Starter plan. If you upgrade to the Business plan, a maximum of 100 users can place calls and texts from your shared number at the same time.

If I only want managerial access to a number, can I silence call notifications?

Yes, you can mute call and text notifications for specific numbers in OpenPhone.

Here’s how to mute OpenPhone numbers in the web or desktop app:

  1. Go to the web app or launch the desktop app.
  2. On the left-hand menu, locate the phone numbers assigned to you.
  3. Hover over the phone number you'd like to mute and click ...
  4. Select Mute.
  5. From here, choose how long you'd like the number to be muted for.

To mute OpenPhone numbers in the mobile app:

  1. Select your account icon in the upper left-hand corner.
  2. Click Manage next to Your numbers.
  3. Tap Off next to Mute phone number.
  4. Select how long you'd like the number to be muted.
